Replacing a Paper Volunteer Log With an Automated Tracking and Reporting System

The Challenge

The Humane Society of Walden relies on volunteers for many different activities, including animal care, dog walking, cleaning, maintenance, events, photography, and other support.

For years, volunteer visits were recorded in a physical sign-in book. That worked for basic attendance, but it became much less useful when staff needed to report on volunteer activity.

The organization needed to know how many people volunteered, how many hours they contributed, what activities they performed, which age groups were represented, how community and workplace groups participated, and how much service an individual volunteer had completed.

With handwritten records, answering those questions meant reviewing entries manually, interpreting handwriting, calculating hours, and compiling information into reports.

The goal was to create a better system without making sign-in complicated for volunteers.

Turning Sign-In Information Into Useful Data

We built a custom web-based application that replaced the paper log with a guided digital sign-in and sign-out process.

Volunteers use a kiosk when they arrive to enter their information and select the activities they will be performing. When they leave, the system records their sign-out time and calculates the length of the session automatically.

Instead of collecting information that staff have to interpret later, the system captures it in a consistent format from the beginning.

The application was built using Google Apps Script, Google Sheets, Google Drive, HTML, CSS, and JavaScript.

Handling Individuals, Groups, and Community Service

The system also needed to account for the different ways people volunteer with the Humane Society.

It supports individual volunteers as well as Day Hab programs, workplace and corporate groups, Scouts and troops, schools, churches, mandated community service, and other organizations.

When additional information is needed, the system collects it as part of the sign-in process. Group entries can include the number of people participating, allowing volunteer time to be calculated accurately.

For example, if a ten-person group volunteers for two hours, the system records 20 person-hours rather than treating the visit as a single two-hour session.

The application also records activities, age ranges, and community-service information used for organizational and grant reporting.

Automating Volunteer Hours

The application removes much of the manual work that previously followed each volunteer visit.

When a volunteer signs out, the system automatically records the session duration and calculates total person-hours.

It also handles a common issue with volunteer sign-in systems: people sometimes forget to sign out.

Open sessions can be closed automatically at a configured time and are clearly flagged so staff can distinguish them from normal sign-outs. This prevents unfinished records from remaining open while still making it clear when an end time was estimated.

Making Reporting Easier

The system was designed not just to collect information, but to make that information useful.

Authorized staff can generate reports for selected date ranges covering:

• Volunteer participation by age range
• Activities performed and hours contributed
• Community-service participation
• Individual volunteer service histories

Reports can be viewed within the application, exported as CSV files, or saved to Google Drive.

The system can also send a daily email summary showing volunteer sessions, total person-hours, automatically closed sessions, and detailed participation information. Backup and archiving features help preserve historical records over time.

The Result

The Humane Society moved from a handwritten attendance book to a centralized system that captures, calculates, organizes, and reports volunteer activity automatically.

The organization estimates that the new system saves staff approximately six hours each month that had previously been spent reviewing handwritten records, calculating volunteer hours, and preparing reports.

The system also provides:

• More consistent volunteer records
• Automatic individual and group hour calculations
• Searchable and reportable participation data
• Better information for grant reporting
• Individual volunteer service histories
• Daily operational summaries
• Backup and archival records

The project did more than replace a paper sign-in book with a digital form. It changed how the information is collected so that much of the reporting work happens automatically from the moment a volunteer signs in.
